Registration

What does my conference registration fee include?

Conference materials, gifts/merchandise, conference t-shirt, LFS activities, and a banquet dinner meal.

How do I make sure I'm fully registered?

The conference registration form will collect your information and payment. You will receive a confirmation email/receipt after submitting the online form.

Is there a way to register my chapter as a whole?

Chapters will need to ask members to register individually. That way, we can ensure individual preferences are documented for each attendee.

Is there a way to pay for my chapter's registration fees as a whole?

We are only accepting individual payments through the Registration link.

Is there a cash or check option?

Unfortunately, we cannot accept cash or check payment for regionals registration. If you are absolutely unable to pay online, please contact the Conference Committee to discuss check payment/registration alternatives.

How do I request a refund for registration if needed?

Refunds can be accepted before October 1. After that, we will be unable to refund any registration payments. Please reach out to the conference planning team to request a refund.

Parking Information

There will be onsite parking available. Information and maps will be available closer to the date of conference.

Accessibility Information

Butler University is equipped with accessible parking, entrances, and restrooms. There are also gender inclusive restrooms available. Hotels and Amenities

Hotel Information

Hotel blocks have been reserved for the conference. You will need to reserve your hotel on a separate link than the registration form. More hotel blocks might be made available depending on interest/need. Please indicate what night(s) you will be staying in Indianapolis (if you are staying overnight) through the registration form. How do I book my hotel room for the conference?

You can book your hotel stay by contacting the hotel directly.

What types of hotel rooms are included in our group rate?

Double Queen rooms are available in addition to accessible rooms.

Schedule

When do we need to plan on arriving for the conference?

Conferences will begin Friday evening at 7:00PM. Since folks will be traveling from out of town, we typically host relaxed fellowship activities throughout the evening so you can join at any time! Fellowship will run through 10:00PM. Visit the Program for more information

When does the conference end?

The conference will end on Sunday afternoon.

General Info

Is there a conference theme this year?

The theme this year is Murder Mystery!

Do we need to wear dress clothes or pack a costume for banquet?

You can wear whatever you’re comfortable with to the banquet dinner/awards presentation. We recommend business casual, but please feel free to dress in theme!

Do we need to pack anything special? What do you bring to an APO conference?

You should pack clothes, toiletries, and snacks for a typical weekend trip. Usually, members use this opportunity to wear their letters or APO merch. Conference materials will be provided (folder, paper/pen, etc), but feel free to bring a notebook or laptop if desired. 

What meals do we need to plan for during a conference weekend?

The only meal that will be provided by the conference is at the banquet on Saturday evening. Light snacks and drinks may also be provided during fellowship activities but will not be substantial enough to replace a meal. Typically, attendees go out to lunch with other brothers from their chapter or with new friends during the break on Saturday. A list of suggestions for lunch locations in the area will be given

Voting Delegates

When does my chapter need to elect our voting delegates for conferences?

This should take place before the early registration deadline. At the very latest, please register delegates by the week before conference. Be sure to follow your Chapter Bylaws if that election process is detailed.

When are the meetings that delegates need to attend?

Voting delegates need to attend the Awards meeting and Section Business Meeting for their section. Please see the Program for details.

What do I need to prepare for the Awards meeting?

Nothing ahead of time! Your Section Chair will provide the list of awards and nomination letters for delegates to review & discuss during the meeting.

What do I need to prepare for the business meetings?

Nothing ahead of time! Your Section Chair will provide an agenda within a week of the conference for the section meetings. The Section Business Meeting’s priority is electing a Section Chair annually, approving the section’s budget, and any policy revisions.

What if my chapter hasn't elected voting delegates in time?

Every chapter gets 2 votes at every section, region, and national conference. To ensure your chapter has a voice, at least one voting delegate must be selected by the chapter ahead of each conference. If an election hasn’t taken place yet, please reach out to your chapter president, advisor, and Section Chair ASAP. Chapter Bylaws and your voting delegate election process must be followed.

What if I can no longer attend or miss a meeting?

There unfortunately isn’t the option for last minute delegate substitutions once we get close to the conference weekend. You can notify your Section Chair ASAP to see if they can note your chapter as a single delegate/double vote.

I already registered, but now I've been elected as a voting delegate. How do I update my registration?

Simply send the conference planning team an email and we can update our registration list.
